TAASA Projects is an internal task and coordination tool for the TAASA committee and volunteers. This short notice explains what personal information it holds and why. It does not replace TAASA's main privacy policy, which covers TAASA's activities as a whole and is linked at the bottom of this page.

Who is responsible

The responsible party for this tool is the Traditional Archery Association of South Africa NPC (registration number 2025/669909/08), trading as TAASA.

What we collect

To run this tool, we hold your name, surname, email address, and a password, stored as a one-way hash rather than as plain text. If you choose to upload a profile photo, we hold that too. We do not collect ID numbers or dates of birth in this tool.

What we use it for

Your details let the committee and volunteers coordinate tasks: assigning work, tracking status, commenting, and attaching files. An administrator can view and update your profile on your behalf.

Online status

When you are signed in to TAASA Projects, other signed-in users can see that you are online. We show this so that volunteers and the committee can see who is available to coordinate work.

To do this, we record only the time of your most recent activity. Each new activity replaces the previous time, so TAASA Projects never keeps a history of when you were active and never shows anyone when you were last online. You stop appearing as online a few minutes after your last activity or when you sign out. Like the rest of our data, this time may remain in our database backups for up to 30 days before it is overwritten. We never use backups to look up anyone's activity.

We process this information on the basis of TAASA's legitimate interest in coordinating its volunteer work, as permitted by section 11(1)(f) of the Protection of Personal Information Act, 2013 (POPIA). Calendar feed

If you subscribe to the TAASA calendar, TAASA Projects creates a private calendar link for each calendar app or device you add it to (up to 10). We store only a scrambled version of each link, so we can recognise it but cannot read it back, with a label naming the app and the date it was made. The feed contains TAASA events only: their title, dates, type and description. When you subscribe with Google Calendar or Outlook, the link is passed to Google or Microsoft in the address of the page that opens, so it may also stay in your browser history. Calendar services you add it to (such as Google, Apple or Microsoft) will keep a copy of those events under their own privacy terms. You can remove any of your links from your Profile at any time, and they all stop working if your account is disabled or removed.

How long we keep it

We keep an internal activity log for accountability on a rolling twelve month basis. Task, comment, and attachment records are kept for as long as the tool is in use, unless you ask us to remove your account.

Your rights

Under the Protection of Personal Information Act (POPIA), you can ask to see, correct, or have your information removed. Get in touch with our Information Officer below to make a request.
